This Privacy Policy is intended to inform users of the Stamplore application (hereinafter “the Application”) about how their personal data is collected, processed, stored, and protected, in compliance with the General Data Protection Regulation (GDPR – Regulation EU 2016/679) and applicable guidelines from app distribution platforms.

2. Data Collected
We collect the following types of data:

Data provided directly by the user:
If you create an account by email: Email address, username, encrypted password.

Data received from third-party authentication services (if you choose these login options):

Via your Google account: If you choose to sign in with Google, we may receive information such as your name, email address, and Google account ID, in accordance with your Google privacy settings and the permissions you grant at login.

Via your Apple account (Sign in with Apple): If you choose to sign in with Apple, we may receive information such as your name (as configured by you) and your email address (with the option to use Apple’s “Hide My Email” feature). We also receive a unique user identifier provided by Apple.

Data collected automatically while using the Application:

Geolocation data: Only with your explicit consent, to help you identify nearby partner locations and validate your visits. You can withdraw this consent at any time via your device settings.

Stamp collection history and interactions with the Application: Information about the stamps you collect, the locations you visit through the Application, and how you interact with its features.

Data collected through our third-party services (see section 5):

Analytics and usage data: Information about how you use the Application, such as features used, frequency of use, actions taken, device identifiers (which may include IP address), device type, operating system, and crash reports. This data is often collected in aggregated or pseudonymized form.

3. Purposes of Processing
Your personal data is used for the following purposes:

Account creation and management: Necessary to identify you and give you access to your profile and stamp collections (via email-based accounts or third-party authentication services such as Google Sign-In, Sign in with Apple, and possibly managed through Firebase Authentication as backend).

Provision of Application services: Displaying nearby partner locations (based on your geolocation, with consent). Displaying your history of validated stamps.

Improvement of user experience and the Application: Analyzing usage trends to understand which features are most popular and to optimize the Application’s usability (via Firebase Analytics). Identifying and resolving technical issues and crashes (potentially via Firebase Crashlytics).

Communication with you: Sending you information related to your account or services, if necessary.
4. Legal Basis for Processing

Performance of the Application’s user contract: For creating and managing your account, as well as providing the Application’s core features.

Your explicit consent: In particular, for collecting and processing your geolocation data, for the use of third-party authentication services (your active choice), and for certain analytics or communications where required by law.

Our legitimate interests: To improve the Application, ensure its security, and understand its usage, provided these interests do not override your fundamental rights and freedoms.
5. Data Recipients and Third-Party Services
Personal data collected is accessible only to authorized members of the Stamplore development team, who are subject to confidentiality obligations. We use third-party services to help operate and improve the Application. These third parties may have access to some of your data as follows:

Firebase (a Google LLC service):

Firebase Authentication: May be used to manage user authentication (account creation, login via email/password) and integrate with third-party identity providers. Data may include your email address, encrypted password, and Firebase identifiers.

Firestore and/or Firebase Realtime Database: To securely store account data, stamp history, interactions with the Application, and potentially geolocation data (with consent).

Firebase Analytics: To collect data on Application usage and understand user interaction, including app instance IDs, interaction data, and device information. Also used to collect crash reports to identify and fix bugs (e.g., Firebase Cloud Messaging for push notifications, Firebase Hosting for hosted content, etc.).

Google Sign-In (Google LLC authentication service):

Purpose: To allow you to register and sign in with your Google account.

Data shared: When using Google Sign-In, you authorize Google to share certain profile information with us (e.g., name, email address, account ID). We only collect what is necessary to create and manage your Stamplore account.

Sign in with Apple (Apple Inc. authentication service):

Purpose: To allow you to register and sign in with your Apple ID.

Data shared: When using Sign in with Apple, Apple provides a unique user identifier. You may choose to share your real name and email address, or to use Apple’s “Hide My Email” feature to provide us with a relay email address. We only collect what is necessary to create and manage your Stamplore account.

Except for the essential service providers mentioned above (needed for the Application’s operation and authentication), your personal data is never sold or transferred to other third parties for marketing or commercial purposes without your explicit consent.
6. Data Retention
Data is kept as long as the user account is active. Upon account deletion, data is erased within a reasonable timeframe (e.g., 30 to 90 days), unless a longer legal retention period applies. Aggregated and anonymized data for analysis may be retained longer.

8. Security
Data is hosted on secure servers (notably Firebase/Google Cloud Platform) and accessible only to authorized individuals. Strict technical and organizational measures are in place to ensure protection.
9. Location and Transfers Outside the EU
Stamplore is based in Belgium. By using third-party services such as Firebase (Google), Google Sign-In, and Sign in with Apple, which operate globally, your data may be transferred and processed on servers located outside the European Union (EU) or European Economic Area (EEA), including the United States. Google and Apple implement appropriate safeguards for such transfers, such as Standard Contractual Clauses approved by the European Commission, to ensure an adequate level of protection. 10. Account Deletion
Users may delete their account directly in the Application via: Settings > Delete Account.
Deleting your account will result in the removal of your personal data in accordance with our retention policy (see section 6).
11. Changes to this Privacy Policy
We may update this Privacy Policy from time to time. Any changes will be published on this page with a revised update date. We encourage you to review this policy regularly to stay informed about how we protect your data.
